Party Planning Checklist: Free Generator (2026)

Every party planning checklist on the internet has the same problem: it was written for someone else's party. The printable PDF tells you to "book entertainment 8 weeks out" whether you're planning a wedding for 150 or a first birthday for 12, whether your event is in six months or in three weeks.

So here's a better idea: a checklist that builds itself around your event.

We built a free event planner that asks a few quick questions, your event type, guest count, venue and date, and generates a complete plan: a checklist paced to your actual timeline, an hour by hour run sheet for the day itself, a schedule of when to message your guests, wording templates, a budget breakdown and expert tips. Twenty event types. No signup. Free PDF at the end.

TL;DR

A static checklist template can't adapt to your date, your guest count or your event type. A generated checklist can. Answer a few questions with the free party planning generator and get a personalised plan for any of 20 event types, from weddings to school reunions to celebrations of life. It remembers what you've ticked off, works as a live shared list for two people planning together, and downloads as a free PDF for the fridge door.

What a real party planning checklist needs

After building plans for twenty different event types, we can tell you the anatomy of a checklist that actually works. It has six parts, and most printables only have one.

1. A timeline paced backwards from your date. "Book the venue 3 months out" is useless advice when your event is in five weeks. A working checklist starts from your date and works backwards, and tells you honestly when something is no longer possifood go out? When is the cake moment? An hour by hour schedule you can hand to a helper means the day stops living entirely in your head.

3. A guest communication schedule. This is the part almost every host discovers too late, usually while chasing twelve people for RSVPs the week of the event. Save the dates, invitations, the reminder nudge, final details, thank yous. Each has a right moment, and the right moment depends on your event.

4. Wording you can actually send. Staring at a blank message trying to phrase an RSVP reminder that doesn't sound passive aggressive is its own special stress. Templates for every message, written for your event type, solve it.

5. A budget that adapts. Percentages, not fixed dollar amounts, because a $300 first birthday and a $30,000 wedding split their money in completely different ways.

6. The etiquette answers. Who pays for a bridal shower? Do gifts come to a gender reveal? How long should a celebration of life run? The questions you'd rather not ask out loud, answered inside the plan.

The universal party planning checklist

Here is the skeleton every party shares. The generator paces it to your real date and event type, but this is the version to screenshot while you decide.

6 to 8 weeks before

  • Set your date, rough budget and guest count
  • Lock the venue or confirm the space at home
  • Draft the guest list and send save the dates

3 to 4 weeks before

  • Send invitations and open RSVPs
  • Book catering, the cake or the food plan
  • Order decorations and any hire items

1 week before

  • Chase outstanding RSVPs and confirm the final headcount
  • Send guests the final details: time, parking, what to bring
  • Buy supplies and confirm every booking

The day before and the day of

  • Prep food, set up the space, charge the camera
  • Work from an hour by hour run sheet so nothing lives only in your head
  • Send thank yous within a few days

Turn this into your own paced plan, pick your event type and it fills in the dates, wording and budget for you.

Pick your event, get your checklist

Every planner below is free and takes about two minutes of questions. Each generates the full six part plan for that specific event.

The big life moments: wedding · engagement party · bridal shower · anniversary

Babies and little ones: baby shower · gender reveal · christening · naming ceremony · first birthday

Birthdays and celebrations: birthday party · dinner party · housewarming · holiday party

Milestones and gatherings: graduation · retirement · farewell party · family reunion · school reunion · corporate event

The hardest one to plan: celebration of life. We built this one deliberately gently: no countdown pressure, no upsells, a pace you set yourself. Planning a farewell while grieving is one of the hardest things anyone does, and the planning resources out there are mostly funeral home brochures. This one is different.

It remembers, and it shares

Two things make a generated checklist genuinely better than paper, beyond the personalisation.

It remembers. Tick off a task on your phone in bed on Tuesday, and it's still ticked when you open the plan on your laptop on Thursday. Your progress ring fills as you go, and the plan always knows the one thing you should do next.

It works for two. Nobody plans a wedding alone. Send the live link to your partner, your mum or your maid of honour and you're all ticking off the same list. When one of you books the caterer, the other sees it done. No signup needed for them either.

Frequently asked questions

Is the event planner actually free?

Yes. The questions, the full generated plan, the PDF download, the shared link and the progress tracking are all free, with no signup. Invyt makes its money when some hosts also choose to send their invitations with us, which is entirely optional.

How is this different from a party planning checklist template?

A template is one fixed list for everyone. The planner generates your checklist from your answers: your event type, date, guest count and venue shape what appears and when it's due. If your timeline is tight, the plan says so and reorders around what still matters.

Do I need to plan far in advance to use it?

No. Tell it your real date, even if that's three weeks away, and it builds a focused plan for the time you actually have, instead of guilt tripping you about the months you don't.

Can I print the checklist?

Yes. Every plan downloads as a polished free PDF with the full checklist, run sheet, message schedule, wording, budget and tips. Fridge doors remain undefeated technology.

Can two people use the same checklist?

Yes. The plan link is live and shared: everyone with the link ticks off the same list and sees the same progress, phone or laptop, no accounts required.

What if my event type isn't listed?

Twenty types are covered, from weddings to naming ceremonies to school reunions. If yours is genuinely different, the closest match still gives you the timeline logic, the run sheet structure and the message schedule, which are the hard parts.

Bottom line

A checklist template hands you a list. A generated plan hands you your list: paced to your date, sized to your guest count, with the day itself scheduled hour by hour and every guest message queued at the right moment. It costs nothing and it takes two minutes to find out what your plan looks like.
