Why Timing Matters
Send too early and guests forget. Send too late and they have already made plans. Getting the timing right maximises attendance and gives you accurate headcounts for planning.
Event-by-Event Timing Guide
- Wedding: Save-the-date 6-12 months before; formal invitation 6-8 weeks before
- Birthday (adult): 3-4 weeks before
- Kids birthday: 2-3 weeks before
- Baby shower: 4-6 weeks before
- Dinner party: 2-3 weeks before
- Housewarming: 2-3 weeks before
- Corporate event: 4-6 weeks before
- Holiday party: 3-4 weeks before (calendars fill fast)
- Casual get-together: 1-2 weeks before
Digital vs Paper Timing
Digital invitations can be sent slightly later than paper because there is no postal delay. However, the response time guests need remains the same, so do not cut it too close. The convenience of digital delivery should benefit you in tracking, not in procrastination.
Holiday and Peak Season Adjustments
During busy periods like December or summer holidays, add an extra week to your normal lead time. Guests' calendars fill faster during these periods, and earlier invitations secure better attendance.
When You Are Running Late
If you are behind schedule, send digital invitations immediately with a shorter RSVP window. A late invitation with a clear deadline is far better than no invitation at all. Include a note like "Apologies for the short notice — we hope you can join us!"
